How to write a bid

Bid writing is a necessary part of survival and existence for many companies. Companies must win bids in order to stay in business, and bid proposals are made through the writing of bids. The funding sources from which bids apply for are limited, making a good written bid a must. Securing these funds for a corporation is also a tough, competitive process, as all companies need money at one time or another.

Bid writing is a skill that can be refined and strengthened with time and practice. Some businesses have their own bid writers within the company, while others use services that write bids, requests for proposals and bid templates. The request for proposal (RFP) is a document that is part of the bidding process used to submit a proposal for a specific service. A request for proposal template is usually similar to a bid template or general proposal template. These consist of basic formats that the bid writer can use as a starting point and from there adapt the writing style and language to the company he or she is representing.

As bid writing usually needs to be done on a tight deadline to secure the necessary funds, companies often turn to writing services to write the bids for them. These services will often include bid consultancy, a pre-qualification questionnaire, the RFP, an Invitation to Tender (ITT) submission, proofreading, editing, researching, preparing all documents and presentation training. Sometimes the company must present their bid before the group providing the funding. The organization that takes care of the bid writing is often willing to provide training sessions for the company on the best tactics and strategies to use when presenting the bid.

Before bid writing can occur, a company must gather together all their financial records and data, including tax statements and payroll information. A bid form and bid proposal sheet must also be obtained, which outline all the rules to be followed in the bid. The person or organization writing the bid must also take into account inspection reports. Often, bids will not even be considered unless the bid contains an appropriate inspection report of the building or office where the bid is being issued from.

All of the bid’s terms must be outlined explicitly in the document since verbal correspondence is not always honored. The best advice for bid writing is to take care of it early. Do not wait until the deadline is approaching because the bid will be rushed, and the evaluators will notice. Bids should be well planned; this is often best accomplished by the use of an outline before the writing takes place. Make sure the writing is persuasive and appealing, as the most successful bids grab readers’ attention immediately.

@cougars- If you are writing detailed proposals (anywhere from 10 to 25 pages), bid writing jobs can be lucrative. A bachelor’s in business communication or journalism and a few years of experience writing and editing are all that is needed to make considerable money. If you are in a technology field, you can expect to earn somewhere in the range of 50,000 to 80,000 per year.

The money is good, but the job is very high stress. You must meet strict deadlines, and you must flawlessly explain the product or service that you are promoting. Any government work also needs to be in compliance with RFP standards. Not following these standards can result in an automatic disqualification of a bid. cougars March 22, 2011

@pelestears- I think that you would need to look at the type of company that would use a proposal writing service. According to the article, there are a number of steps in the proposal writing process. Bids and proposals are also subject to deadlines. For these reasons, a small or new company may need to outsource their proposal writing process to meet deadlines and quality standards.

This is just my opinion on the matter. I have no idea what proposal writing services cost, but hiring a full time staff may be cost prohibitive. Whatever the costs, I bet proposal writing is good money. Personally, I would like to know what it takes to become a proposal writer. PelesTears March 19, 2011

I wonder if a company that survives by winning contracts would benefit more from having its own staff writing bids and proposals or if outsourcing this job is more profitable. I would assume that a company could win more bids by hiring staff to write its own custom bids. This staff would be self-invested in winning a bid rather than producing as many bids as possible. I would also think that they would have a better understanding of the unique services of their own company; making the bid proposal more detailed than one the company outsources. It may cost a little more, but I would think that the company could win more bids with its own staff.

How to write a bid proposal

Follow these steps to craft an effective bid proposal:

  1. Get an in-depth understanding of the project. Before drafting a bid proposal, make sure that you understand exactly what the project entails and what the client is hoping to accomplish, You can often do this by reading the job description, but ask the client for additional information if you feel that you need more details.

Research the client. Learning a bit about the client can help you write a bid proposal that both impresses them and communicates that your company is ideal for the job. If the client is another company, explore the organization’s website so that you can evaluate their challenges and values.

Evaluate the competition. Regardless of the project, there are likely other companies and individuals competing for the opportunity to offer their goods and/or services. By finding out who the competition is and learning a bit about them, you can create a bid proposal that helps your company stand out.

Consider offering an additional good or service. In order to make sure that your company is able to set itself apart from the competition, you could include an additional service or product in your bid proposal, free of charge.

Include relevant information. It’s often helpful to include things like samples of your company’s work or even reviews from satisfied customers to demonstrate that your company is qualified to effectively and efficiently complete the project.

    What is a bid proposal?
    A bid proposal is a document, produced by a company that provides goods or a service, like construction, and is sent to potential contractors, with the intention of encouraging them to agree to complete a project.

    ABOUT US:

    PandaTip: Considering you are taking the effort to write out a full bid proposal, chances are that the project is fairly extensive and will require you and the contractor working closely together for an extended period of time. Therefore, it is important to convey who you are to the contractor. Don’t just give some background, though. Show some personality as that will lend itself to them wanting to work with you more than a strictly mechanical description of yourself and your company.

    THE PROJECT:

    PandaTip: Here is where you go into detail about the project – not just the specific duties that you will need the contractor to accomplish, but really paint a picture of what you are looking to do. Use your bid proposal to get the contractor excited about working with you and being a part of the bigger picture. Especially if you are looking for a bid that is under the typical market price for contractors this will be very important.

    OUR BUDGET:

    PandaTip: When describing your budget within your bid proposal, you may want to set a number of different guidelines, depending on the nature of your project:

      • Hourly Rate: Standard, but leaves costs open since you’re paying by the hour rather than by deliverables
      • Flat Fee: Second most common arrangement, but the contractor may not be open to this if the nature of the work is such that they cannot determine how time-intensive the project will be
      • Hourly Rate (Capped): Essentially you pay an hourly rate, but only up to a certain point with the obligation to finish the project remaining even after reaching the cap
      • Equity: A creative option where you offer ownership in your company in exchange for the work to be completed which can be an attractive option for a startup that has a big vision
      • Profit Share: In the same vein as offering equity, you could offer a direct share of the profits stemming from that which is generated from the completion of the project
      • Combination: Any of the above can be combined – be creative!

    PandaTip: This Bid Proposal is written from the perspective of a company that has a project that needs to be completed and is contacting a contractor that can potentially get the work done if they can come to an agreement.

    INDEPENDENT CONTRACTOR CONTRACT TEMPLATE

    This Independent Contractor Contract (the “Contract”) states the terms and conditions that govern the contractual agreement between [COMPANY] having its principal place of business at [ADDRESS] (the “Company”), and [CONTRACTOR] (the “Contractor”) who agrees to be bound by this Contract.

    WHEREAS, the Company is planning to conduct [PROJECT], [PROJECT DESCRIPTION] (the “Project”); and

    WHEREAS, the Contractor agrees to manage the Project according to the terms and conditions herein.

    NOW, THEREFORE, In consideration of the mutual covenants and promises made by the parties within this Contract, the Company and the Contractor (individually, each a “Party” and collectively, the “Parties”) covenant and agree as follows:

    CONTRACTOR’S DUTIES. The Contractor shall perform all duties pertaining to the Project in the manner described on Schedule A attached hereto.

    PandaTip: As the Project could be any number of things, the Contractor’s duties could widely vary. Thus, you should clearly delineate on the attached schedule exactly what the Contractor should do and in what manner. For the purposes of this schedule, don’t worry about anything but clearly defining the role the Contractor will play. Legal language is not important for such things.

    PAYMENT. The total cost to be paid to the Company by the Contractor for the services hereunder shall be [WRITTEN DOLLAR AMOUNT] dollars ($[NUMERICAL DOLLAR AMOUNT]). The dates on which payments are due are listed on the payment schedule attached hereto as Schedule B.

    PandaTip: Feel free to get creative here. See the PandaTip on the proposal cover page that discusses the various options that you may use to pay your Contractor.

    TERM. The term of this Contract shall last from [DATE] to the satisfactory completion of the Project, as determined solely by the Company.

    PandaTip: Although it is not immediately obvious, this could end up being the most important clause in your contract. “Deliverables” could be anything from a website to a book to a video and in any case you want to be sure that you hold all the rights to the final product.

    EXPENSES. The Parties agree and acknowledge that all expenses the Contractor incurs in performing the Duties under this Contract shall be borne by the Contractor unless the Contractor receives prior written approval by the Company and presents receipts for such expenses, in which case the Company will reimburse the Contractor.

    NO MODIFICATION UNLESS IN WRITING. No modification of this Contract shall be valid unless in writing and agreed upon by both Parties.

    APPLICABLE LAW. This Contract and the interpretation of its terms shall be governed by and construed in accordance with the laws of the State of [STATE] and subject to the exclusive jurisdiction of the federal and state courts located in [COUNTY], [STATE].

    IN WITNESS WHEREOF, each of the Parties has executed this Contract, both Parties by its duly authorized officer, as of the day and year set forth below.

    Here are few tips for writing a bid proposal.

    1. Never use one proposal for multiple jobs. If you will use same bit proposal again and again then it may be possible the person will ignore your proposal. The bid proposal is the only way by which you can attract the person towards you so it should be unique each time.
    2. Your proposal should address the buyer. Writing the name of the buyer in the proposal makes buyer realize that you have given special attention to him. Not writing his name in the proposal means that you have written a general proposal and will look very artificial.
    3. Always remember that there are several jobs which you can think you are qualified for. But you cannot apply for each and every job.
    4. Before writing a proposal, you need to read the full proposal. Sometimes, there are some specific requirements which you may not be able to fulfill. But when you will apply for those jobs without reading the full job description, then after being selection you will come to know that you cannot meet the requirements of the job and it is the wastage of time of not only buyer but also your own. Describe everything in your proposal. For example, if you are writing a bid proposal for article writing job, then must mention the number of articles which you will write each day and also your expected price per article.
    5. If you have any question related to the job, never hesitate to ask it to the person. This will not only educate you about the job but it will also put a very good impression on the job’s contractor. When he answers your question, note them down so that you won’t repeat your question.
    6. Use attention seeking sentences in your proposal. Every job’s contractor likes to work with the person who is expert. You can write in your proposal some very attractive sentences such as ‘’ I have worked with many people ‘’ or ‘’ I have the ability to meet the deadlines’’.
    7. Check out all the details of the buyer to know what his requirements are and what kind of people he likes to hire. Then prepare your bid proposal accordingly.
    8. At the end of the proposal must include your sample work which you think is the best of your all works. Include it in the proposal and also write about it in the proposal so that the buyer does not forget to check your sample.
