There are a ton of budgeting apps out there, but many people end up using some sort of a spreadsheet for their budget.

Spreadsheets offer control and flexibility to users, and allows them to look closer at the transactions going through their accounts.

I have nothing against apps. Many people find them useful, and there’s no denying that there are a ton of good ones out there.

But I personally have used a budget spreadsheet for years and have found it useful. The more people I talk to about budgeting, the more I hear that people desire a spreadsheet-based budget without all the manual work that comes with it.

Today we finally have a budget spreadsheet in Excel that is automated and easy to update. But first let me tell you a bit about the budgeting process I’ve used in the past.

My Budgeting Process

I’m an Excel nerd so using a spreadsheet to budget was a no-brainer for me. I’ve had the same spreadsheet for over four years now. But why haven’t I shared it?

When I share spreadsheets and tools I want them to be as easy to use as possible. The biggest issue with spreadsheet budgeting is getting all the data in the proper format.

I have a number of credit cards due to credit card churning, plus throw in a bank account and you can see why it would take quite a bit of time to reformat everything. No two financial institutions seem to export data in the same format. So there’s a lot of work on the backend.

I didn’t want to share a budgeting spreadsheet until I solved this key piece of the puzzle. Fast forward four years and I still haven’t shared a spreadsheet.

That all changed when I discovered Tiller.

Tiller – The Key to Automation

Tiller is what I have been waiting for: it automates the process of pulling in your financial data into a clean, uniform format.

Now there are a ton of apps out there that link to your accounts. But they don’t allow you to dump your data into a spreadsheet because they either haven’t built a tool that can do that or they have a huge incentive to not allow their users to dump data into a spreadsheet.

Once you sign up for Tiller you simply have to connect your accounts and your financial transactions will be dumped into a Google Spreadsheet each day. They will come through in a uniform format that looks something like this:

I’m all for Google Sheets, and Tiller absolutely can work simply using Google Sheets, but Excel is where it’s at if you want a clean and good-looking budget spreadsheet.

So I took it a step further and created an automated budget spreadsheet in Excel.

An Automated Budget Spreadsheet in Excel

Tiller is a great start, but my automated budget spreadsheet in Excel is where people will feel most “at home.” Excel is widely used and I’ve created a spreadsheet that someone with limited experience can use.

The spreadsheet has a directions tab that guides you through the process of updating the spreadsheet with your data. It also points out best practices that will help you not “break” the file.

The data tab is where you will want to paste your Tiller data. The data will then become part of a table that uses formulas to automatically populate the monthly summary tabs and the annual summary tabs.

Note that Tiller does not automatically populate the category for each transaction. Having the user populate the category allows the user to assign relevant categories and look at the transactions at a lower level of detail than they would if category was auto-filled.

On the categories tab you can add or delete categories as you see fit.

On the monthly summary tabs, everything is automated except for the budget column and the categories. You can add and delete categories as you see fit. You can unhide the hidden rows towards the bottom if you need to add more categories.

Everything is formula-driven, making it easy to see a snapshot for the month. While tabs have already been created for each month in 2018, you can easily make a copy of any of the months tab and choose a different month and year drop-down as you see fit. Everything will update automatically for whatever month you choose.

One additional thing included in this file is the annual summary. If you go to the 2019 tab you can see an annual summary of your income and expenses by month. This is automatically populated and you can easily make a summary for future years by choosing a different year from the drop-down.

This spreadsheet takes a lot of the manual work out of the budgeting process and gives you nice clean views of your financials, both budgeted versus actual as well as net inflow and outflow of cash.

My hope is that this easier process of importing and tagging data will encourage others to start budgeting. After all, using this process you can easily update your budget in less than 30 minute a month, perhaps even less than 10 minutes depending on how many transactions you need to tag.

To get started, you can use my free personal budget spreadsheet template in Excel or Google Sheets to track your income and expenses using a common set of budget categories. You can easily change the categories as needed.

The personal budget spreadsheet below is one of my original budget templates. It provides a simple way to create a budget, especially if you need ideas for budget categories. Why Use Excel for your Personal Budget?

First reason: it’s free. Microsoft Excel isn’t free, but if you already own Excel, then you can create a budget without purchasing other budgeting software. If you don’t own Excel, then Google Sheets and OpenOffice are free options to consider.

Second reason: flexibility. The reason I use Excel when working with my home and business budgets is that it gives me complete flexibility to keep track of the information the way I want to. For example, I like to use cell comments to explain certain budgeted items in more detail (such as the fact that in May, there is Mother’s Day and a couple of birthdays to remember).

Creating a simple personal budget (even if it is only on paper) is one of the first steps to gaining control of your spending habits. Tracking your income and spending comes both before and after making a budget. For expense tracking, you could use my Income and Expense Worksheet, Checkbook Register, or the newer Money Manager. A budget is almost useless without tracking what you are spending.

I started out using Excel to do everything, but I began using Quicken after a friend showed me how easy it was to keep track of checks and credit card charges and download transactions directly from my bank. This isn’t an advertisement for Quicken . it’s just a disclosure to say that I don’t ONLY use Excel any more.

A spreadsheet may not be the best budgeting solution for everybody. In my opinion, the #1 problem associated with using a spreadsheet for your personal budget is the chance that you’ll make errors. The flexibility comes at the price of possibly deleting or messing up an important formula, or making bad assumptions.

If you use and customize any template for your personal budget, make sure you understand how it works and always double-check the formulas. You may learn how to use Excel better in the process.

You’ll notice that you cannot edit this spreadsheet. In order to save and edit your own version of this spreadsheet, log in to your Google account, select ‘File’, and ‘Make a Copy’. If you do not have a Google account, create one here. Now you should be able to edit your own version in Google Docs. Do not request to share, just make a copy and use the copy for your personal use.

If you prefer an offline Excel (.xlsx) or .ods spreadsheet, you can also select ‘File’ and ‘Download As’ to download the spreadsheet in those formats.

How to Use your Free Personal Budget Planner Spreadsheet

Everyone’s personal income and expense lines are going to vary slightly from what you will find in this personal budget planner. Feel free to delete and/or add in rows. However, make sure that the formulas in the ‘Total’ rows compensate for your alterations. Here is a step-by-step process for filling out your budget.

1. First, grab your W2 so that you can input all of your income rows, in the section as shown below:

2. Next, collect your credit card and bank statements to fill out your regular expenses. If you have consistent one-time expenses (e.g. auto insurance) that you only pay once per year, pro-rate (divide by 12) to get a monthly budgeted amount, and then fill out the cell for the month the expense was paid. All months in which you don’t pay that expense should have $0 posted. The expenses section is highlighted below.

3. Now, you will want to account for one-off income and expenses for each month. First, click on the tab (at the bottom) for the corresponding month:

Next, you will want to fill out your one-time items:

Finally, add your totals on the corresponding rows (12 and 45 in the original) on the ‘Total Budget’ sheet:

You should really only need to update your sheet periodically as an income or expense item changes in amount, or at the end of every month as you you receive your statements. Ideally, this personal finance budget planner will allow you to predict how much cash flow you have available to spend during a given month so that you can plan throughout the year.

Now that you know what your budget looks like, the fun work begins – optimizing your monthly budget. It will be a lot of hard work and a challenge, but completely worth it. These spreadsheets work with Microsoft Excel with macros enabled, and some work with OpenOffice Calc (free). It’s Your Money offers an assortment of free or low-cost personal money management spreadsheets.

PearBudget Free Budget Spreadsheet

PearBudget is a free, comprehensive household monthly finance spreadsheet that can be downloaded and used with Microsoft Excel or any other spreadsheet software that supports Excel files. An analysis tab analyzes expenses by different categories and shows the difference between actual and budgeted spending.

PearBudget also offers an updated online version of the budget spreadsheet that does not require a download and is available for a free 30-day trial.

Google Sheets

Use the Google docs template gallery for Google Sheets to find some great options for budgets.

  • Monthly budget: A very simple budget spreadsheet using a percentage of income for budgeting, designed for those with non-complicated scenarios.
  • Yearly budget template: A detailed yearly and monthly budget tracking spreadsheet. This budget spreadsheet lets you project income and savings as well as keep a record of actual income and savings.

Go over to the font tab and change the font style to “bold”. After this is done, you need to click OK at the bottom for Excel to automatically affect the changes.

5. Go over to the expense section in row three to carry out the same formatting. Click and highlight the worksheet’s title and carry out the same formatting, but this time make the words larger than the headings so that they are slightly different from the heading. Use the AUTOSUM feature of the spreadsheet to make your calculations simpler.

Highlight the cells in one column (such as the cells under office rent) and click the “autosum” button. The cells will fill up with the symbol =SUM (). This tells you that the cells will add up automatically when they are imputed into the spreadsheet, providing a monthly sum for the column.

Don’t be surprised if “terminable” is marked as not possible – this is sometimes the case with SMART targets.

    Never used spreadsheet software before and not quite sure what it does? Relax, using it to make a budget is easy, because someone has already done most of the work. Here’s how to get started.

    Step 1: Pick Your Program

    First, select an application that can create and edit spreadsheet files. Microsoft Excel has long been a core component of the Microsoft Office suite for Mac and Windows ($70 a year). If you don’t have it already, you can also find versions for Android and iOS or the free basic version that runs in a web browser.

    Other free or preinstalled spreadsheet programs may already be on your device. Google Sheets (for Android, iOS and web) and Apple’s Numbers software for iOS, macOS and web are two examples.

    Preparing an annual budget can help you increase profitability and ensure you will have enough capital to keep the business running throughout the duration of the year. Here are the steps you can take to make an annual budget:

    1. Review profit and loss statements

    To begin the process of creating an annual budget, start by examining the profit and loss statements from the past two years. Remove unusual expenses that you don’t anticipate during the coming year, as well as one-time revenue.

    Average the numbers from the two years of profit and loss statements and then adjust them for the expenses that went up during the course of the year. Also make any modifications for changes in gross margins, one-time investments, market conditions and revenue that you anticipate during the coming year.     When you’re creating your annual budget, it’s important to keep cash flow income. For example, you may need to buy inventory before making sales and you need to ensure you have the cash on hand to make the necessary purchases.     Here are some additional tips you can use to prepare an annual budget for a company:

    Consult with other departments: It’s a good idea to consult with other departments in the company to get insight and feedback for the coming year. For example, the sales team can help you set realistic expectations for sales revenue, the manufacturing team can provide insight on large purchases for updating machinery or other manufacturing expenditures and the research and development team can help you prepare for new product releases and costs to anticipate as a result. Getting feedback from all departments in the company can help you create a more accurate and effective annual budget.

    Ask yourself if the budget is realistic: Think through your revenue goals and why you set the numbers you did. For example, what investments are you making that will lead to an increase in sales revenue? Sometimes when creating a budget, revenue is projected too high and expenses are projected too low. If you aren’t sure whether your financial projections are accurate, consider increasing your expenses by 10% and reducing revenue by 25%. This can guard against unexpected cash flow shortages because you underestimated costs and overestimated profits.

    Begin early: Creating an annual budget takes time, especially if you are consulting with other departments. It’s generally a good idea to begin creating your budget by October to give yourself plenty of time to get a detailed estimate of your projected revenue and expenses. This also gives you plenty of time to begin making preparations to hire new employees in the coming year if you budget for new positions.

    If you live and work in a success-oriented way, you cannot avoid annual planning. Goals should be defined, measured and controlled. For this purpose I prepared the Excel template for the planning of the coming year.

    How exactly each individual takes it is of course a matter of taste. Therefore, I do not want to prescribe anything here, but only give as much help as possible to make 2021 successful.

    The annual planner can be used professionally for projects, internal company matters, personnel, budget and others; privately for relationships, partnerships, marriage, sports, nutrition, raising children, etc.

    Using the annual planer for 2021

    First, download the template at the end of the article and open it with a spreadsheet program of your choice (usually probably Microsoft Excel). Now you will see several worksheets at the bottom. One for each application area:

    Necessities are those items or services you absolutely must buy with your income. Necessities include basic food, clothing, shelter, heat, and medical care. Other necessities relate to your daily obligations. For example, you may need transportation in order to make a living, or you may need to purchase a uniform in order to keep your job. In some case, necessities may also include loans or educational costs.

    Using Budget Sheets to Manage Income and Necessities

    Budget sheets, or spreadsheets, are a great visual tool for tracking income and costs. With a single glance, you can see what you spend and how your costs compare to your income. Furthermore, research has shown that those that budget are more likely to be financially healthy. To get started, you’ll need to collect all your pay stubs and other income information as well as your receipts for a whole month. If you use a debit or credit card to pay for necessities, that information will be on your monthly statement. If not, you’ll need to collect the receipts yourself.

    You can change the orientation of the budget printout in the Print dialog box. You can also in the same place set Scale to Fit 12 months to page, 6 months to page, or 4 months to page — more months means fewer pages, but smaller text.

    As for an annual budget, as you know, Quicken is personal finance software, so it isn’t always geared to running a company or organization. For an annual budget for a non-profit, I would be inclined to export a budget to a .csv file just for the categories, and then enter your budget values in Excel or Numbers. Or you could enter the annual budget values in January in Quicken, export, and in the spreadsheet lop off all the other columns. I think creating your budget this way in the spreadsheet beats trying to create something in Quicken. (I did the books for two non-profit associations using Quicken in the past, and always did the budget in Excel rather than Quicken.)

    If you just want a blank budget with goals and no actual amounts (for presentation purposes), here is what I suggest.

    1. Go into your budget you have setup (likely with actuals displaying)
    2. From menubar, Budgets:Duplicate Budget
    3. Click on the “Edit Budget” below the name.
    4. Change the currency to anything else other than what your original is (likely US $). This will cause all actuals to drop to zero as you have no transactions in the foreign currency.

    You can print this out/export it. The only way you will see it is a foreign currency is at the upper right.

    You can delete this duplicated budget when done from the same Budgets menu.

    As for an annual budget, as you know, Quicken is personal finance software, so it isn’t always geared to running a company or organization. For an annual budget for a non-profit, I would be inclined to export a budget to a .csv file just for the categories, and then enter your budget values in Excel or Numbers. Or you could enter the annual budget values in January in Quicken, export, and in the spreadsheet lop off all the other columns. I think creating your budget this way in the spreadsheet beats trying to create something in Quicken. (I did the books for two non-profit associations using Quicken in the past, and always did the budget in Excel rather than Quicken.)

    Hello and welcome! Today I’m sharing a really easy way to categorize spending with the use of Microsoft Excel Pivot Tables. And before you doze off or close the page 😉 — this will save you some precious time + give you a way to review your spending in detail on a regular basis. You may have charges you’ve been meaning to cancel or inaccurate charges from companies. I use this method for both personal and small business finances.

    This goes hand-in-hand with one of my very first posts on this blog. How to Develop a Personal Finance Forecast. A basic version of how I used to forecast as a finance analyst. It’s a tool you can use to regularly review spending habits + plan and budget several months out. This post will help with documenting your actual spending.

    Some banks and credit card companies provide spending reports. And some people use an online tool like Personal Capital to track and review spending. However, my favorite is still Excel. I’ve found instances where charges have been placed in the wrong bucket on several occasions. Plus this gives you a great way to review each charge and know exactly what is going through your accounts.

    So without further ado, let’s look at how you can easily categorize and review actual spending.

    Export data from bank or credit card company

    Log-in to your online account and export your spending data. I choose to do this monthly so it isn’t so overwhelming. But you could do as many months as you’d like. You can typically select the date range.

    Here is what a credit card download may look like. Make sure you choose the spreadsheet option or a comma-delimited format.

    Save the file in Excel

    Save the file in an Excel format. If you miss this step, you’ll likely have issues creating the Pivot Table.

    Create category & month columns

    Add two columns. 1) for spending categories, I used Type as the column heading. 2) for the month, which is handy when you have several months of data.

    Enter the =month() formula in the Month column. Selecting the corresponding date cell. In this case =month(B2).

    Copy the formula down to all rows of data.

    Sort by description

    Sort the description column for easy categorizing.

    Categorize purchases

    Once the descriptions are sorted, it will be much quicker to categorize each purchase in the “Type” column.

    Create a pivot table

    Create the pivot table by selecting Insert –> Pivot Table –> Pivot Table.

    Select the data table and select “New Worksheet.” Click OK.

    Drag the field “Type” in the PivotTable Field List to the Row Labels section. Drag the “Month” field to the Column Labels section. Drag “Debit” and “Credit” to the Values section.

    Unless your default is set up differently, you’ll notice the table is counting the items instead of displaying the dollar amount. So select “Count of Debit” and click on “Value Field Settings.”

    Choose “Sum.” Repeat for the Credits.

    This will display the dollar amount. Format numbers to dollars. And voila! This is your Pivot Table. You can easily add your actual spending by category to your forecast or budget. And research any weird charges you find. If the “Total” columns bother you. Right-click on “Total Sum of Debit” and select “Remove Grand Total.”

    Summary

    I’m sure various exports from different financial institutions look different. However, the process should basically be the same:

    1. Export financial data.
    2. Save in Excel format.
    3. Add a column for purchase type and month.
    4. Create a month formula and copy down to all rows.
    5. Sort descriptions for easy categorizing.
    6. Assign each purchase a “type” or “category.”
    7. Be sure to align categories to budget or forecast.
    8. Create your Pivot Table.
    9. Research and/or cancel any purchases you don’t recognize.
    10. Plug the information into budget or forecast.
