How to list an item in your etsy shop

Digital items are items that the buyer can download immediately. Listing a digital item is similar to listing any other item on Etsy.

Follow the instructions to list an item on Etsy and choose Digital item under Type . The only additional step for listing a digital item is to add files to your listing.

How to add files to your digital listing

When listing a digital item, you’ll need to upload the files that the buyer is purchasing. You can upload up to five digital files. The maximum size for each file is 20MB. We currently support file types that end in:

  • .bmp
  • .doc
  • .gif
  • .jpeg
  • .jpg
  • .mobi
  • .mov
  • .mp3
  • .mpeg
  • .pdf
  • .png
  • .psp
  • .rtf
  • .stl
  • .txt
  • .zip
  • .ePUB
  • .iBook

Uploaded files will appear in a list with their names, file sizes, and upload dates. The file names you see will be the same ones your buyers see. We don’t have a way of editing the name after uploading, so be sure to name your files appropriately first.

File names are limited to 70 alphanumeric characters, periods, underscores, or hyphens.

Add a note for buyers

You can add a note for buyers that will apply to all digital listings purchased from your shop. After a purchase, a buyer can see the note on their Downloads page.

Can I offer variations for my digital items?

No, you can’t offer variations for digital items.

What if I want to offer a digital item that is custom?

We recommend uploading a “placeholder” file. The placeholder file can be an example image or instructions to submit certain information. You can then collect any important information needed for the order using the Note to Seller or your buyer can send you a message directly. Read more about how a buyer can request a custom item.

When you have the final file ready, you can send it to the buyer separately through Messages, email, or a third-party hosting site. The buyer will still be able to download the original file, so just be clear in your listing that you’ll be sending the actual file later.

Make sure you choose the digital property when you list your digital item, and not physical. Physical items require a tracking number or a shipping label purchased on Etsy. If you list a digital item as physical, orders for this listing will negatively impact your Star Seller shipping metric, since the orders will never be physically shipped.

How to remove a file

If you want to remove a file, click the X next to its listing time/date. You can remove files at any time.

Open your shop

Before you create your shop, sign in or create an Etsy account. You’ll use this account to run your shop and to buy from other makers on Etsy. After creating your account, add your profile picture and bio to let other people in the Etsy community know who you are.

To open your Etsy shop:

  1. Click Sell on Etsy at the top right of Etsy.com.
  2. Click Open your Etsy shop .
  3. Select your shop language, country, and currency, then click Save and continue .
  4. Choose your shop name, then click Save and continue .

You need to complete the first step of opening your shop on a desktop web browser. Once your shop is open, you can manage your shop on the Sell on Etsy app .

Do I need a business license to sell on Etsy?

Etsy doesn’t require sellers to have a business license to sell on Etsy.

However, when selling on Etsy you’re required to follow any laws that apply to you as a small business selling online. If you have any questions regarding which laws apply to you, please contact a qualified professional.

Finish your shop setup

Once you’ve signed up to sell on Etsy, there are a few steps you need to take to complete your shop setup and prepare to start selling items. Like any online business, you should think through key factors in your selling workflow. Consider things like production time, policies, and your plan for shipping.

Key shop elements to address:

  • Banner and shop logo: Upload clear photos that represent the style of your brand and make a strong first impression on shoppers.
  • Shop announcement: Share a brief welcome message with shoppers.

I have a series of four paintings that I want to sell either as a set or individually. How can I do that in one listing? Or do I have to just have four listings and skip offering the set?

It can get a little messy. My take would be to do one listing with the 4 pictures as variations so if a buyer wishes to purchase 1 or two or all 4 they can in one setting.

Or you can make 4 listings and refer the buyer the to the other 3 paintings through links letting the buyer know they can purchase paintings that complement the one they are looking at.

Here’s how I do it. I want to sell packs of greetings cards. So I go to Variations, I add a variation and call it Numbers. Then it asks me to Name the Options within that variation. Now I can create as many options as I like: individual; Two card pack, five card pack etc. You then need to add the price for each one. Hope this helps!

@BrassJungle when the variation window opens, on the left is a check box for setting individual quantities and prices for each variation.

You have options to list them separately, together, or as variations. Just keep in mind that Etsy still only provides for one shipping setting per listing. And if you only have 4 available , I would not recommend listing them individually AND as a set in the same listing – because theorectically, 8 could be purchased – the set, and each of the 4 individually.

I would use Powerpoint, or something similar, and put two paintings in each photo, then put a corresponding number or letter under each one. If you have 12 paintings this will use up 6 of your photo slots. You could then use the remaining slots to show larger groupings of the paintings, again, with the number or letter under each one so the customer knows what they are ordering. You then would list the number or letter as a variation. You can price variations differently, in case not every one of these paintings cost the same.

Select your shop language country and currency then click Save and continue. Then while adding products make sure that the products that you want to send to Etsy are under different collections. If you have it set up to receive messages in email that is another possibility.

So you’ve led your buyer into your item listing. Now that you have their attention, how can you entice them to buy? The right way with words will help your buyer add your items to their shopping cart with confidence! Optimize your shop with the following five tips for effective and descriptive prose in your product listings.

1. Create an inverted pyramid.

The most important information about your item should be first in your description — not only because shoppers want the details on your items as soon as possible, but also because it’s a smart way to optimize the way your description displays in Google search results. Feel free to repeat the words used in your item title.

2. Just like a good therapist suggests, use “I” statements.

Speaking in the first person will help you connect with your visitor on an individual level — and isn’t that what they are looking for when they come to shop on Etsy? Show a bit of your personality! Think of your item descriptions like meeting a new friend: you want to be polite, but you also want to be your natural self.

3. Short paragraphs and bullet points are your friends.

Visitors to your shop might be looking for a specific size or material, so make it easy for them to glean that info from your descriptions by cutting out superfluous language and making good use of bullet points.

4. Keep an eye on your Shop Stats.

Maintain a list of the keywords visitors search for when they find your shop and write with these keywords in mind. Remember that your titles and tags are keywords used by Etsy search, but your most important tags and materials should also be scattered throughout your descriptions so that Internet search engines can find you too! External sites are more likely to pick up keywords from your descriptions than your list of tags.

5. End with a link.

Did you know you can copy and paste Etsy URLs in your descriptions and they will function as a hyperlink? Use this to your advantage. If your visitor has read your item description and is not biting, don’t let them float away to another website, Etsy shop or back to their search results. Instead, give them a link to learn more about you, see your entire shop, check out a shop section or even link to a search within your shop.

6. Lastly, edit your description!

See what sentences are too long and make them shorter. Short, sweet and punchy prose is easier for a buyer to connect with. Run your description through a spell checker, and check for grammatical errors.

How to share your products across two Etsy accounts

This video above shows you how to copy your Etsy listings to a second Etsy store. Here below you can find a brief summary of the information found in the video.

To list products from one Etsy store to another one, first, you need to be logged in both your accounts (to ease the explanation, we will refer to them as Etsy1 and Etsy2).

Check the following guide and read more specific instructions on how to connect two Etsy accounts to Nembol.

Once you’ve connected both Etsy stores to your Nembol account, you can start importing from the first store. All you need to do is to click on the import button next to your Etsy1.

Before doing that, check the “Import from Etsy” settings to ensure you are importing the correct products (note that importing always takes some time, so you have to be patient).

After you’ve imported your products from Etsy 1, check the “List to Etsy” settings (of Etsy 2) in order to manage the way your listings will be published on this channel.

Tip: always test-list as draft (List as Active setting is “Off”): this will prevent you from paying listing fees on Etsy until you are sure to publish those products.

Go to your Products Tab in Nembol.

Select the items you want to list on Etsy 2 and click on Actions > Publish. Flag Etsy 2 and click on Publish.
Again, listing will take some time, depending on the current traffic on Etsy’s servers.

Congratulations! You have correctly exported your Etsy listing to a second Etsy store.

Transfer your listings from your second Etsy store to the first one

You can repeat the same process for your Etsy2, if you want.
Nembol will import only those products who are not on your Nembol account yet.

Nembol never imports twice the same item from the same channel. This prevents you from having duplicated listings.

So, what happens when you import from Etsy 2, after having published from Etsy 1?

Everytime you ask Nembol to import from any channel, it will automatically check for the products’ SKU code.

When Nembol finds a SKU code that matches another one already in your catalog, it will link those two listings, syncing quantities and edits (every time you get an order, in any connected channel).

In this way, there’s no need to re-list, and no chance of having duplicated products.

Here are some guidelines and tips for sellers who wish to offer gift certificates.

How to Set Up Your Listing

Be sure to include pertinent information in your item listing, even if it seems obvious to you:

  • When you list your gift certificate, make sure to follow Etsy’s rules for item listings.
  • Be sure to use the words “Gift Certificate” in your item listing’s title and as a tag.
  • Your listing must be for a set price; this should be the full value of the gift certificate.
  • Be clear in your description that this gift certificate is only redeemable in your Etsy shop.
  • Let your buyers know how you will handle an order redemption that has a balance. For instance, will you send the gift certificate redeemer a revised PayPal invoice?
  • Your listing must be an actual, tangible item for purchase. This could be a traditional, formal paper certificate, notecard, MOO card or something the recipient might want to hang on to a little longer, like a sticker, coaster, patch or badge. A digital file, like a .pdf, is also acceptable.
  • Let your buyers know how long it will take you to ship the gift certificate (or email the digital file).
  • Please change your Etsy settings to allow “other” as a checkout option if it is not already enabled. This will allow the gift recipient to redeem the gift certificate in your shop.

What to Include With Your Gift Certificate

  • The name of your shop and your shop’s unique web address on Etsy (for example, username.etsy.com).
  • The words “gift certificate” and the value of the gift certificate.
  • A unique secret code, which the redeemer of the gift certificate will be instructed to type into the Message to Seller section when checking out.
  • Clear instructions on how to redeem the gift certificate. For example: “Go to my Etsy shop and select the items you would like to buy with this fine gift certificate. Click the green Checkout button. Choose the ‘Other’ payment option. In the Message to Seller section, please type in the code. I will send you a convo to confirm your order. Thanks!”

After the Sale

  • Be organized and keep track of the code of every gift certificate that is purchased and redeemed in your shop. When the gift certificate is redeemed, you may need to send a revised PayPal invoice to the buyer if there is a remaining balance that needs to be paid on the sale.

Offering discounts can be an effective way to hook in shoppers especially on Etsy. There are plenty of discount strategies and with all those choices; it can be difficult to decide which approach to discounts – if any – is right for your Etsy store.

How to list an item in your etsy shopEtsy allows you to create three types of custom coupon codes.

  1. Percent Discount – This type of coupon code is a flat percentage off each listing in a customer’s entire order (not applied to shipping costs or tax rates).
  2. Free Shipping – This eliminates shipping costs on the shopper’s order; this can be limited to orders shipped within your country.
  3. Fixed Dollar Amount Discount – Etsy allows you to take away a set amount, such as $5, from an order.

To get started, here are 20 tips to keep in mind when planning your discount promotions.

  1. Change your avatar to promote your sale.
  2. Post a notice in your shop announcement.
  3. Offer a discount on your customer’s next order by using your “note to buyer” section. Repeat customers rule!
  4. Free shipping might encourage that impulse buy.
  5. Introduce a new item with an introductory price or limited time offer.
  6. Encourage additional purchases with specials like “Buy One Get One Half Price.”
  7. Support volume purchases with wholesale discounts.
  8. Use business card with discount codes to hand out or hang on bulletin boards or during craft shows.
  9. Promote your products on Craig’s List with a special discount code. Then you can track where the order came from.
  10. Have stickers made with promotional codes and use them when you mail out an order.
  11. Send out discount codes and sale information on your Twitter.
  12. Start a mailing list and send out specials and discounts.
  13. Start a Newsletter to send out discounts and new product information.
  14. Group promotions by Etsy Teams are an easy way to join together and promote a discount.
  15. Seasonal sales could nudge your customer to buy now.
  16. Spread the word of your discount on Etsy forums or blogs.
  17. Reward your best customers with special discounts just for them.
  18. Add SALE to your listing’s title and to your tags.
  19. Give a gift with purchase of a certain amount or item. Everyone loves a little something extra!
  20. Tell people about your products and give them a special “friend code” to use on their first purchase.

Also, when hosting a discount sale, be mindful of timing and frequency. Offering sales too often can train customers to wait for a markdown before making a purchase. Customers may also start to think that your regular prices are too high.

So when should you offer a sale? You might have to go through a trial-and-error process before finding the right strategy for your shop.
