How to cancel an appointment

Your Scheduling clients can schedule, reschedule, and cancel appointments on their own. This guide explains how clients book and manage their own appointments. Testing the process on your own is also a great way to get to know how your online booking experience works.

Tip: You and your staff can also book appointments for clients from your Appointment Calendar.

Book an appointment

Clients book appointments through the Scheduling Block or from your scheduling page.

To book appointments, clients:

  1. Choose an appointment type.
  2. Choose a calendar to book on, or choose Any Available. If you only have one calendar, or if you customized your scheduling page to only display one calendar, clients will skip this step.
  3. Choose a date and time from a list of available appointment slots.
  4. Enter their name, email address, and phone number and answer questions you added with intake forms.
  5. Enter their payment information and a coupon or package code, if they have one.
    If you don’t charge for appointments, clients will skip this step. If payment is optional, clients will choose whether to pay.
  6. Click the confirmation button to schedule their appointment, and pay if required.
  7. They’ll be directed to a confirmation page with their appointment details. They’ll also receive a confirmation email with the appointment details and a calendar invite.

Reschedule an appointment

To reschedule appointments, clients:

  1. Click Change/Cancel Appointment in the initial confirmation email they receive after booking. This brings them back to their confirmation page.
  2. Click Reschedule.
  3. Choose a new date and time. They’ll see only the times you’re available.
  4. Click Reschedule.
  5. They’ll be directed to a confirmation page and receive an email with the details of their updated appointment.
  • Clients can only choose a new date and time. For other changes they request, you’ll need to edit the appointment internally from the Scheduling panel.
  • Your scheduling limits control how close to an appointment clients can reschedule. For example, you can prevent clients from rescheduling their appointments within two hours of the original time.

Cancel an appointment

To cancel appointments, clients:

  1. Click Change/Cancel Appointment in the initial confirmation email they receive after booking. This brings them back to their confirmation page.
  2. Click Cancel.
  3. Click Yes, cancel appointment.
  4. They’ll be directed to the Client Scheduling Page with a message confirming the cancellation and receive a cancellation email to confirm.
  • Your scheduling limits control how close to an appointment clients can cancel. For example, you can prevent clients from cancelling their appointments within 24 hours.

You can reschedule from within your Public Account as long as it’s outside of 24 hours before the upcoming appointment.

To reschedule an appointment:

  1. Sign in to your account.
  2. Locate the appointment under Upcoming Appointments.
  3. Select Reschedule to go to Booking Details.
  4. Select View All Availability or Change to choose different Staff.
  5. Select a new available Date to change the date.
  6. Select a new available Time to change the time.
  7. Select Next to proceed.
  8. Enter Notes to provider (optional).
  9. Select Next to proceed.
  10. Check I agree with the cancellation policy.
  11. Select Next to proceed.
  12. Select your preferred Payment Option to complete rescheduling and to advance to the Booking Complete page.

If activated by the Business, an Appointment Modification notice maybe sent to your account’s email address.

  • If you prepaid for the original appointment, the payment will carry over to the rescheduled one.
  • When rescheduling, you can choose a different Staff and a different time. You cannot select a different Service. If you need to book another Service, cancel the existing appointment and book a new one.
  • If you attempt to reschedule within 24 hours, you will be prompted to contact the Business directly in order to make any changes. Under Upcoming Appointments, select View Business to locate their information on the Contact page.
  • If you have more than 10 upcoming appointments booked, only the first 10 show in Upcoming Appointments.

Whether it’s because of an unexpected delay, travel issues, or a schedule mix-up, canceling plans is sometimes inevitable. Breaking the news to the person you are missing an appointment with can be daunting, but if you are honest and polite and let them know as soon as possible, they will most likely be understanding.     Student Health Center is continually striving to improve its online appointment scheduling system. The window of available appointments that can be viewed by a student and scheduled ONLINE via the Student Health Patient Portal has now been expanded to 14 days (336 hours). It is our intent and expectation that this change will result in more appointments being available to students to schedule online in lieu of having to call the SHC appointment line or scheduling in person. Future enhancements to the online scheduling system are planned including increasing the # of appointment “types” for which a student can schedule an appointment online.

    When speaking with one of our appointment schedulers, please be sure to have your class and/or work schedule available.

    • Please check in at least 15 minutes prior to your scheduled appointment time.
    • Registration/Self Check-in stations are located in the waiting area.
    • If you are greater than ten (10) minutes late for your scheduled appointment time, you will be unable to “self-check in” and must check in at the Front Office. It is possible that your provider will see the next scheduled patient who is available and who arrived on time before seeing you. If the reason for your appointment is deemed not to be medically urgent or emergent, you may be asked to wait or you may be asked to reschedule depending upon the provider’s schedule.
    • If you are late and your assigned provider is not available, then it may be possible for you to be seen by another provider if one is available. However, this is not guaranteed.
    • If you are late and the reason for your appointment is deemed to be medically urgent or emergent, we will make every effort for you to be seen as soon as possible by an available provider.
    • Please note that appointments are limited in length and you may be asked to schedule a follow-up appointment(s) if you have multiple concerns or if your care requires more than the allotted time.
    • If you cannot make your appointment, please cancel your appointment no later than the day prior to your scheduled appointment date. See below for applicable fees charged for late cancellations and/or no shows.

    If you cannot make your appointment, please call 949‑824‑5304 or go online to the Student Health Patient Portal as soon as possible to cancel or reschedule so that we can make your time slot available to other students. Canceling your appointment can be done 24-hours a day/7 days a week either online or by calling our Appointment Line at 949‑824‑5304 and leaving a message.     It is very important that you keep your address and contact information updated with the Office of the University Registrar as this is the same address and information that is utilized by all University departments including the Student Health Center. In addition, the address and contact information that is on file with the Registrar is also used by UC SHIP and all of the UC SHIP carriers. When you move to a new residence; return home for summer break; change telephone numbers or mobile carriers, please remember to update your records with the University Registrar as soon as possible.     A Texas DMV driving test appointment can help you to save time, regardless of whether you are applying for a Texas license , a Texas commercial drivers license or are in need to have another drivers license or identification card service. A DPS online appointment is simple to make and can be done on your personal computer or mobile device. However, this system is not supported in every Texas DPS. Some counties are also limited in whether or not they can offer a commercial driver road skill exam, which would interfere with online scheduling options.

    The DPS appointment system can be utilized when you need to take a driving test for a standard Texas drivers license or a Texas commercial drivers license (CDL). Additionally, you may be eligible to “get in line online” when beginning the application process for a drivers license, thus expediting your application and shortening the time that you spend at your local Texas DPS.

    Driving Test Appointments in Texas

    You can make an appointment at a DPS location in Texas, so long as your preferred DPS is a participating location. Not every DPS within the state supports this innovative and time-saving system.

    When you make a drivers license appointment , you will be permitted to schedule your appointment between one day and 90 days in advance. However, if submitting your request online, then you may see that some days in the near future are unavailable if the maximum number of scheduled appointments has already been received. The online system will only permit you to schedule one appointment at a time with the ability to cancel or reschedule DMV appointment requests as needed. After you schedule your driving appointment, the system will allow you to print a confirmation page that will include additional instructions about preparing for your appointment.

    Other Services Covered by the Texas DMV Appointment System

    The Texas DPS appointment system allows for the scheduling of multiple drivers license and identification card related services. At a participating DPS, you can:

    • Renew or replace your Texas drivers license or identification card.
    • Apply for a first-time Texas drivers license, identification card or permit.
    • Submit a name or address change to the Texas DPS.
    • Take a written drivers license exam or an endorsement exam.

    How to Schedule a DMV Appointment in Texas

    You can schedule a Texas DPS appointment either online or by contacting your local participating DPS over the phone. Appointments can be scheduled up to 90 days in advance and the available appointment days and times are based upon DPS hours and availability.

    To take advantage of the DPS appointment system , you must be able to provide your full legal name, your full date of birth and, when applicable, your drivers license number, state identification number or learners permit number.

    What to Bring to Your Texas DMV Appointment

    It is important that you check a DPS appointment time for a Texas DPS prior to arriving in order to plan your visit. Most drivers license and state identification card services will require that you be present at least 10 minutes prior to the time of your appointment. However, if you have a DPS road test appointment , then you must arrive one hour prior to your appointment in order to complete your application and submit your payment. If you do not arrive at the required time margins, then your appointment may be rescheduled by the DPS.

    If you have a DPS behind the wheel test appointment , it is important that you bring:

    • Your Texas learners license or Texas drivers license with a B restriction.
    • The driving test fee.
    • Proof of driver education if you are younger than 25 years of age. Acceptable forms of proof include a Texas driver education certificate, a parent taught driver education affidavit or an adult driver education certificate.
    • Your verification of enrollment, high school diploma or GED if you are younger than 18 years of age.
    • Proof of current Texas liability insurance. Your proof of auto insurance must be in a paper format as proof via a smartphone is not acceptable at this time.
    • Your current vehicle registration .

    If your DPS appointment is for a drivers license or identification card renewal or replacement, then you must bring proof of identification and a completed application for the renewal or replacement. If the appointment is for a change of address, then please be ready to provide a completed change of address application and your current (or expired within two years) Texas identification card or drivers license. For a name change, you must have a completed application ready, your current (or expired within two years) Texas drivers license or identification card and a supporting name change document such as a marriage license, divorce decree or court order.

    For an initial Texas drivers license appointment or Texas state identification card, you will need to bring:

    • Your Social Security card.
    • Documents that verify your identity.
    • Documents that verify your United States citizenship or lawful residence within the U.S.
    • Two documents that provide proof of Texas residency, such as an insurance card, lease agreement, mortgage statement or a utility bill.

    If you are scheduled to take a written test or add an endorsement to an existing commercial drivers license, then you must provide one form that proves your identity.

    How to Cancel or Reschedule a DMV Appointment in Texas

    A Texas DPS view appointment option can be found online should you need to review your appointment date and time, if you scheduled your initial appointment online. The DPS appointment number can be found on your online account as well as on the confirmation receipt that you received after scheduling your appointment online. This number can also be used to cancel or reschedule your appointment over the phone if you are experiencing trouble with the online system.

    To reschedule or cancel an appointment DPS , you may:

    • Contact the DPS that you are scheduled with and reschedule or cancel your appointment over the phone.
    • Respond to a text-based appointment notification with “C”.
    • Log onto your online account to make changes to your appointment.

    Please keep in mind that only one DPS appointment can be scheduled at any given time. If you have more than one appointment scheduled, then the DPS can cancel any duplicate scheduling.
